Timesheets are used to track the actual time that your employees work. While shifts are used to schedule and estimate employee hours, you can use timesheets to track accurately when your employees are at work. This help guide will walk you through everything you need to know to use timesheets effectively.

Not all schedules have timesheets enabled.

As a manager you can disable the timesheets add-on. This will hide all of the timesheet and time clock features. You can control which add-ons are enabled for you schedule on the add-ons page.

Using the Time Clock

Most businesses that use timesheets in ZoomShift also use the web or mobile time clock. This allows employees to clock in/out and automatically create timesheets. You can learn more about using the web time clock in this guide and the mobile time clock in this guide.

Adding/Editing Timesheets

It is inevitable that you’ll need to make changes to a timesheet or manually create one when an employee forgets to clock in. When viewing an employee’s timesheets you can add a timesheet by clicking on an open row. If the row is already full with another timesheet you can click the small “+” icon next to the day.

Once you click to add a timesheet you will see a pop-up form like the one below. Also, once you have added a timesheet you can click on it to edit it and you will see this same form.

Once a timesheet has been saved it will show up in the table. The hour and wage totals for each timesheet will be displayed in the far right columns.

Allowing Employees to Edit Timesheets

Most organizations rely on the web and mobile time clocks to collect employee timesheets, however you can also allow your employees to manually edit their own timesheets. Within the settings for the timesheets add-on you will see a setting titled “Allow Manual Entry of Timesheets.” 

You can change this setting to let your employees make adjustments to their own timesheets. Any changes that your employees make will automatically be unapproved. A manager will still need to approve the timesheet before it shows up in the payroll report.

Hourly Wage

This field is automatically populated by the value set in the employee’s profile. However, you can override this value if you want. You will notice that changing this value will change the wage total for the timesheet.

Tracking History

Sometimes you will want to know who edited a timesheet or when a timesheet was approved. You can always view a full audit log for each timesheet by clicking on it and then clicking the History button at the bottom of the edit pop-up. You will then a see a full history of the timesheet.
